1. We Created A Streamlined Process For Calling
Our client uses Open Dental combined with Dental Intel to keep track of their treatment. We focused on basic procedures like Fillings, Sealants and Crowns for the majority of the campaign.
Our admin team took the key information from patients we were going to focus on and put them into Pipedrive, a CRM platform we use to make 50-100 calls a day. After uploading hundreds of patient treatment details (and the information is all password protected) our Treatment Coordinator Ron, who is excellent with sales, conversation and using dental software, started calling.
We’d used Open Dental to schedule the appointments and Dental Intel to take the 50% deposit. All of this information was recorded and sent to our clients each week as our “Progress Report”
2. We Dramatically Increased The Number of Follow-Up Calls
Ron had a specific goal of 300-400 calls per week. By doing that amount of volume, we typically see about 15% of all patients pickup the phone between 10:00am-4:00pm. The patients respected the practice and opinion of the doctors, so we found it a fairly smooth process to talk to them about their treatments.
Our cadence involves
- One phone call per patient, per week
- One voicemail a week
- Optional: One email encouraging the patient to call us back
- Optional: One text message
We also make sure we are HIPAA-compliant by never talking about the procedure over email or text.
3. We Use Templates & Quick Note To Help Us Track Everything
Within Pipedrive, we take notes from each call and note if we spoke to a client, left a voicemail and what was said.
We use Ringcentral, a phone-calling platform, that allows us to call the patient from our main line with the click of a button. With this method, we can make a minimum of 20 calls per hour. Our bigger goal is to talk to patients, but we know you have to put in lots of calls to speak to patients.
We also have a template ready by email for different scenarios for the patients.
4. Lastly, We Reported The Key Progress Each Week
Each week we’d send an email with details of our progress. In the 30 days since we started, we made 1,500 calls and booked $11,000 in Treatment Scheduled. More than half of that was completed within the month. We are also able to make sure the scheduled treatment actually happened by looking at Open Dental to see the doctor’s notes.
If we have any questions or unique scenarios, we talk to the practice once a week to help clarify the situation.
