5 Ways To Combat Decreasing Case Acceptance Rates In Your Dental Practice

It’s a lot more economical to increase sales from your current patients to market and bring in new ones. A key way to do this is by increasing your case acceptance. If your patients aren’t doing their recommended treatment plans, you’re leaving money on the table.

A high amount of Unscheduled Treatment also means your patients aren’t getting the treatment they need.

Here are a few reason why Case Acceptance Is Decreasing

  • Lack of patient education: Patients might not understand the importance of completing their treatment and the long-term benefits
  • Costs: This is a big one! Your patients need to understand how much insurance covers, when insurance expires and every available financing option
  • Fear of Dental Procedures: Do your patients know how long the treatment will take? Can you make scheduling easy?
  • Lack of Follow-up: A lot of practices just don’t take the time to call and remind patients about their treatments after they leave the initial consultation.

How To Improve Case Acceptance

  1. Educate Your Patients: Can your team explain to patients in non-technical terms how each procedure works? It helps to use visuals and videos when possible
  2. Flexible Financing: Be sure to go over financing options (i.e. Care Credit) and any elements that can reduce the financial obstacle. Explaining insurance benefits and premiums (and when they expire) can help
  3. Consistent Follow-up: After the first visit, have each patient receive a weekly check-in on my phone or text. It can be as simple as saying “Hi (patient) I’m calling from ABC Dental on behalf of Dr. Smith regarding your treatment that was discussed. Would you like to move forward?
  4. Explain the Long-term Benefits: Most patients don’t understand how oral health issues can escalate if untreated. If you can fix something small, like a filling or sealant, you can avoid crowns later down the road. Keep it easy to understand, and they’ll see the benefit.
  5. Hire a Remote Treatment Coordinator: If your current Treatment Coordinator doesn’t have enough free time to call patients. Hire a remote staff to help. At the very least, this person can follow-up and then your current Treatment Coordinator could call people who are responsive. What you don’t want is your Treatment Coordinator leaving dozens of voicemails that go nowhere. A Remote Treatment Coordinator can play the role of an assistant, to do the outbound calls, and then send the good ones up the line.
